- Monday-Friday 730am-4pm
- Assists in supporting community use. Schedule appointments for technician
- Take payment information and other pertinent information such as addresses and phone numbers.
- Serve as one of the two coordinators that divide the district’s 180+ schools into workloads so that each has direct responsibility for scheduling assigned schools.
- Oversees agreements, including partnerships, and helps determine applicable fees for facility use.
- Help develop new policies and procedures for efficient scheduling.
- Monitors budget (e.g., overtime costs) for community use activities.
- Day to day execution: provides administrative support and assists in carrying out specific activities, such as: distribution of materials, process documentation, conducting trainings, organizes and submits reports, coordinates responses, develops procedures, and maintaining records and files.
- Calculates billing fees for chargeable customer rentals, and manages the paperwork and insurance requirements for billable events; tracks payments from customers and issues credits and refunds, collection notices, general permits, contracts, and invoices; tracks overtime needs and reports to make sure of correct charges.
- Manages changes to schedules and acts as a mediator in disputes over the use of space, coordinating the interaction between school administration and outside groups
- Trains and supports facilities with calendaring/scheduling system; maintains summer construction spreadsheet, scheduling and tracking summer training/classes
- Minimum of five (5) years’ experience in customer service.
- Minimum of five (5) years’ experience working with accounting system applications and with account codes, budgets, and strategic sourcing
- High school diploma or equivalent.
- Bachelor’s Degree preferred
- Proficiency with Microsoft Office products and an aptitude for learning new applications
- Effectively plans, prioritizes, and organizes work, at times with
- Ability to deal with critical inquires, complaints and negotiations and stay with a frustrating problem until it is resolved
- On occasion, the ability to communicate and interact with discourteous people
