Job Description

Job Store Staffing is seeking a proactive and detail-oriented Executive Assistant to provide comprehensive support to our client’s executive team. This full-time role will involve organizing and scheduling meetings and appointments for individuals, as well as handling various administrative tasks such as scheduling appointments, coordinating trips, preparing board packages, managing deposits, and handling mail and scanning duties.

Duration: Long term temporary with possibility of hire
Pay: $22-25/hour
Shift: Full time, 40 hours a week
Projected Start: June 17
 
Key Responsibilities:
  • Organize and manage the schedules of executives, ensuring all appointments, meetings, and deadlines are coordinated efficiently.
  • Schedule appointments and coordinate logistics for executive travel, including flights, accommodations, and transportation.
  • Prepare board packages and other materials for meetings, ensuring accuracy and timeliness.
  • Handle deposits and financial transactions as needed, maintaining detailed records and documentation.
  • Manage incoming and outgoing mail, including sorting, distributing, and scanning documents as required.
  • Anticipate the needs of executives and proactively address any scheduling conflicts or issues that may arise.
  • Maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Collaborate with other members of the administrative team to ensure smooth operations and support company-wide initiatives as needed.
Qualifications:
  • Previous experience as an executive assistant or similar role, preferably supporting individuals with busy schedules and varied responsibilities.
  • Strong organizational skills and the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent communication skills, both written and verbal, with a high level of professionalism.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to maintain confidentiality and handle sensitive information with discretion and integrity.
  • Detail-oriented with a focus on accuracy and thoroughness in all tasks.
  • Ability to work independently with minimal supervision while also functioning well in a team environment.
  • Flexibility to adapt to changing priorities and willingness to take on new challenges.
